PRODUCTION ASSISTANT

Full-Time Employment

Job Summary

Responsible for ensuring the success and reconciliation of show and event productions by assisting the V.P. of Production on logistical, personnel and financial aspects of the Production department while supporting & collaborating with the Production Director and Production Coordinator with thorough & detailed preparation. The goal of this position will be to advance to a Production Coordinator and begin to be responsible for elements of Redrock shows.

Essential Functions:

• Schedule and maintain calendar for all production meetings and calls for V.P. of Production.

• Create show files and binders for all shows.

• Must ensure positive and creative environment for the Production Department and Venue location.

• Work with Production Coordinator to book, train, assist and support production department personnel with job functions as needed.

• Work with Production Coordinator in adhering to the budget and tracking the financial aspects of department to include cash consolidation.

• Create and maintain global production timeline with Production team inclusive of load in, show and load out.

• Create daily show schedule to present on site daily ensuring information is distributed to all departments in a timely basis.

• Support V.P. of Production and full Production team onsite at shows.

• Work with the Production Manager scheduling appropriate number of staff while maintaining labor costs within the assigned budgetary guidelines.

• Meet all deadlines given by V.P. of Production.

• Maintain regular communications between V.P. of Production, Production Director and Production Coordinator to facilitate proper interdepartmental communication and organization.

• Advance logistical details for shows/events along with the V.P. of Production.

• Attends production and operations meeting as outlined by the V.P. of Production.

• Maintain a detailed and thorough filing system of all “past show” files on the shared drive.

Maintain accurate vendor records, following Purchase Ordering Systems.

• Manage and book travel for all personal including flights, hotels, and car rentals.

Minimum Job Requirements:

MUST RESIDE IN LA AREA

• Calm, professional, flexible and customer service oriented.

• Must possess strong communication and organizational skills.

• Prior Event Production experience.

• Ability to handle multiple projects simultaneously.

• Ability to make clear concise decisions; sometimes with limited information.

• Computer literate Excel, Word and Outlook a must.

• Able to work flexible and long hours including late nights, and sometimes weekends.

• Must have an impeccable attention to detail.

• A quick-thinker and an adept problem-solver.

• Able to work in highly demanding environment while being able to handle varying personalities.

Responsibilities

• Greet and welcome guests as soon as they arrive at the office.

• Direct visitors to the appropriate person and office.

• Answer, screen and forward incoming phone calls.

• Ensure reception area is tidy and presentable.

• Receive, sort and distribute daily mail/deliveries.

• Order front office supplies and keep inventory of stock.

• Update calendars and schedule meetings.

• Other office projects.

 

Requirements

MUST RESIDE IN LA AREA

ENTERTAINMENT EXPERIENCE HIGHLY PREFERRED

• Work experience as a Receptionist, Front Office Representative or similar role.

• Proficiency in Microsoft Outlook.

• Solid written and verbal communication skills.

• Ability to be resourceful and proactive when issues arise.

• Excellent organizational skills.

• Multitasking and time-management skills, with the ability to prioritize tasks.

• Customer service attitude
